Out-of-Stock Specialist

SUMMARY

When our customers need vehicles and cannot wait for factory orders, the orders must be acquired from dealerships across the country. Out-of-Stock Specialists handle the locating, quoting, and purchasing of vehicles from dealer stock. This role requires communicating with dealers, EMKAY employees, and clients on a daily basis to ensure orders are placed accurately and in a timely manner. The essential functions of this position are outlined in the following section.

*ESSENTIAL FUNCTIONS

-Locate and purchase new vehicles out of dealer stock on behalf of our clients
-Complete dealer stock orders from start to finish: Confirm spec’s with CSS, quote and  offer  located vehicle to client, review client’s VIP agreements, issue PO to dealer, process  payment to dealer, follow-up on and track delivery, billing, and License & Title statuses
-Negotiate with dealers to secure best possible price
-Assign drop-ship dealers for factory ordered vehicles
-Negotiate with dealers for lower courtesy delivery fees
-Locate fleet minded dealers to add to the EMKAY network
-Assist with any resolving issues between dealers and clients
-Use manufacturers’ websites to obtain dealer and product information and to locate  “stock” vehicles
-Assist clients/sales/CSS with Autodata vehicle quotes whenever necessary
-Occasionally aid in the setting up of vehicle deliveries/transports
-Manage the factory ordering process for Volvo, VW, and BMW

ADDITIONAL DUTIES AND RESPONSIBILITIES 

-Provide customer service to clients, vendors, and EMKAY employees using a    professional, pleasant, and articulate manner of communication

-To provide superior customer service, the employee must be a self-starter, a problem    solver, and willing to work in a fast paced environment

-Operate general office equipment such as computers, scanners, calculators, fax and    photocopy machines

-Cross-train to perform duties in a backup role for other CSS department personnel and    in turn will cross train other employees as a backup for own job duties

-Must have strong decision making abilities while discerning issues that need to be    referred to a supervisor for further action

-Opening and routing of incoming mail, while also preparing materials for outgoing mail

-Ability to ensure all correspondences are EMKAY compliant as outlined in our Marketing  Guideline and posted on the intranet

-Willingness to perform other special projects and duties as assigned by management

EDUCATION AND EXPERIENCE

-Minimum of four year degree graduate or equivalent work experience
-Prior automotive, fleet leasing, office and customer service experience is a plus
-Word processing training or experience and spreadsheet training or experience helpful
